SMS Appointment Reminder

This guide outlines the steps to establish a system that sends an ‘SMS‘ appointment reminder to the customer one day before their appointment. For a comprehensive understanding of this process, it is highly recommended to refer to the relevant ‘Workflow‘ section in the documentation.

Quick Guide

  • This video outlines the steps to create an SMS appointment reminder for customers one day before their scheduled appointment.

1. Select ‘+Create New Workflow‘ and create a name for your workflow.

2. Within ‘When This Happens‘, select ‘Booking Starts‘.

3. Within ‘Do This‘, select ‘Send SMS message via Twilio

4. Click on ‘CREATE‘ on the bottom right.

 

After creating the workflow, a new screen will be displayed for further setup

STEP 1:

1. Within the ‘When’ field, you will see ‘Booking Starts’, and next to it, an edit button. Please select the edit button.

2. Within the ‘Offset’ field, select ‘Before’, which implies that the action will occur before the appointment starts. Select ‘1’ in the adjacent field, then finally select ‘Day’ in the field next to that. This implies that the SMS will be sent one day before the appointment. The remaining fields are filters to fine-tune the process. For example, you can configure the SMS message to be sent only for a specific location, staff member, service, etc. Click on ‘Save‘ button located on the bottom left.

3. Select ‘SAVE‘.

 

Step 2:

4. Within the ‘Do This’ field, you will see ‘Send SMS message via Twilio’, and next to it, an edit button. Please select the edit button.

5. This is where you create your SMS message. You can send this message to the ‘Customer‘, ‘Staff‘, or both. Clicking on the ‘Purple Tag’ icon within the ‘Message’ field will present you with relevant short codes, which will be filled in by the system.

6. Select ‘SAVE‘. (The ‘SAVE & TEST’ option will allow you to send a test SMS to a number of your choice.)
